Who we are

SOFIA (Saïd Oxford Feminine Intelligence Architecture) is a research and conversational platform associated with Oxford Saïd Business School and the Inspiring Female Founders initiative.

Data controller: FUTURE FREQUENCY LTD
0 Wenlock Road, London, England, N1 7GU

What we collect

  • Voice conversations and transcripts (via ElevenLabs)
  • Names and business details you choose to provide
  • Consent choices and timestamps
  • AI-generated reports and optional photos you upload
  • Anonymised knowledge-base excerpts from Share Your Wisdom interviews (where consent is provided)

How we use data

We process data to run voice conversations, generate your report, improve the platform, and (with separate consent) add anonymised insight from Share Your Wisdom interviews to our internal knowledge base for research Q&A. We do not sell your data. Automated processing includes AI systems from Anthropic and ElevenLabs.

Where you explicitly opt in, Share interview/report data may also be used to improve SOFIA prompts and model behaviour. This model-improvement consent is optional and can be withdrawn at any time.

For Share Your Wisdom research interviews, knowledge-base content may include anonymised report sections and quotes. Talk to SOFIA and community conversations are not added to the SOFIA knowledge base.

Cookies and similar technologies

SOFIA does not use advertising or third-party tracking cookies. The site may store minimal technical data in your browser session (for example, to run the voice widget). Hosting providers may log standard request metadata (IP address, user agent) for security and operations.

Processors

Data may be processed by hosting (e.g. Vercel), database (Supabase), voice AI (ElevenLabs), and language models (Anthropic, and optionally OpenAI for embeddings). International transfers may apply; appropriate safeguards should be in place before launch.

Retention

Operational records are kept as long as needed to provide the service and meet research obligations, then deleted or anonymised according to our retention schedule. Knowledge-base content derived from your conversation is anonymised and kept only while it remains useful for research, unless you withdraw consent.

Your rights

Under UK GDPR you may request access, correction, erasure, restriction, portability, or objection to processing, and you may withdraw consent at any time. Contact arabella@learningfrequency.com (privacy requests). We aim to respond within one month.

Complaints

You have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk. We encourage you to contact us first so we can try to resolve your concern.
